Why the Cheapest HP Printer Is Usually the Most Expensive to Own

I'll state my position without hedging: the cheapest HP printer on a purchase order is often the most expensive office printer to own. I have watched offices save $250 on a device and then spend more than $600 on support calls, reprints, and emergency shipping. The invoice price is worth reading. It is not the full calculation.

I work as a quality and specification reviewer for office printing equipment. In 2024, I reviewed more than 200 incoming orders for printers, supplies, and paper. I rejected just under 7 percent of the first deliveries because what arrived did not match what was written down. None of these rejections were about products being maliciously bad. They were about a mismatch between what a product is designed to do and what an office expected it to do.

The 'best printer' question needs context first

In procurement conversations, someone eventually asks: 'What is the best 3D printer?' I always answer with another question: what are you trying to build? Third, I check the support ecosystem. A printer can be the right model but the wrong choice if supplies are hard to get, service response is slow, or the nearest support channel is a forum thread. In a B2B environment, that ecosystem is part of the product.

Part of me understands why low-price models keep winning procurement reviews. The number is easy to defend. Another part knows that the number has no information about the cost of running the device. I reconcile the two by checking the full specification and then asking one practical question: what happens when this printer is asked to do its real job?

The budget objection is fair, but don't let it skip the math

If the budget is genuinely constrained, buying an entry-level HP printer might be the right decision. I am not arguing that every office should buy the HP Color LaserJet Pro MFP 4301fdn printer. I am arguing that the decision should be based on cost structure, not on the lowest possible upfront number. If you print 200 pages a month, the HP 2825e printer may be plenty. My final position: The best HP printer for your office is the one that matches your workload, your media, and your service reality. 'What is the best 3D printer?' and 'Which HP printer is best?' are the same question: best for what job? Ask that question, calculate total cost, and let the sticker price be the start, not the end, of the analysis.

Price is the question. Cost is the answer.
