Why the Cheapest HP Printer Is Usually the Most Expensive One
I will defend an unpopular position: most businesses should not choose the HP printer that looks cheapest at first glance. The money saved at checkout is usually a deposit on future service calls, supplies, and downtime. The purchase price is not the price.
I say this as a quality and compliance manager at a managed document services company. I review every printer and supply order before it moves forward, roughly 120 unique requests per year since 2021. In Q1 2024 alone, I rejected 19% of first-round printer requests because the requester had listed only the hardware cost. Most were approved after the requester added deployment time, projected volume, supply cost, and support expectations.
The most useful framework I have adopted is total cost of ownership (TCO, in other words, the sum of everything the printer will cost before it gets recycled).
Price and Value: The Causation Is Often Reversed
There is a common assumption that an expensive printer carries a high price because the manufacturer wants a larger margin. In reality, the causation often runs the opposite way. A business-class machine can command a higher price because it is designed for heavier workloads, fewer breakdowns, longer-lived components, and predictable service programs. The higher price is part of the cost of a more reliable system, not just an add-on for a brand name.
The same logic applies to low-price printers. A low price wins a spec comparison if you only compare how many dollars leave the account today. It loses when you track those dollars over a 36-month printing lifecycle.
Match the Printer to the Real Workload
For an office printing a few hundred pages per month, a light-duty HP printer may be enough. For our larger business offices, I now specify an HP LaserJet Enterprise printer even when procurement officers flinch at the quote. Why? Because the total cost model for a high-volume shared unit includes toner yields, network integration, and the option of on-site service. When printed pages are the actual output of a department, the cost per page is more important than the device price.
The same thinking led me to approve an HP Smart Tank 6001 printer for a workgroup that needed cost-effective color printing without a color laser budget. Its upfront cost is higher than a typical cartridge inkjet, but the refill bottle system produces a much lower cost per page. I would not recommend it for a team that prints three pages per week. I would recommend it to a team that prints consistently enough for the ink economics to play out.
Setup Is Not Free: The WPS PIN Effect
Every printer has an installation tax. With network printers, the tax usually appears when the printer asks for a WPS PIN during Wi-Fi setup. Where to find the WPS PIN on a printer is one of the most common support questions we see. The answer varies by model. On many units it sits in the wireless menu; on some you have to print a network information page. From a quality review perspective, the real issue is that no one budgets for the time spent answering that question.
Ten minutes of searching for a PIN does not feel like a big expense. Multiply it by two hundred printers and a help desk rate of $31 per hour, and it becomes roughly $1,033 of unplanned labor. That is why I require a deployment plan with every purchase order. If setup instructions are not clear, I want the vendor to provide a short onboarding process before we scale it across offices.
Estimate the Error, Not Just the Average
TCO also requires honest measurement. Page yield claims are standardized estimates, not personalized promises. Per FTC guidance (ftc.gov), advertised page yields must be truthful and substantiated; they do not have to match your actual invoices. In my experience, actual pages usually land below the box number because real documents have more coverage than the standard test page.
The most frustrating part of comparing printer quotes is that the assumptions are never written next to the price. That is why I track actual pages against the manufacturer's claim. When the first supply unit runs out, I compare the real number to the rated yield and run the difference through a percent error calculator. If the actual yield is 15% lower than estimated, I adjust the supply order and the calculated cost per page. If I skipped that step, the next budget would inherit a silent price increase.
One more math note: procurement is not a vector multiplication exercise. A cross product calculator is a fine tool for geometry and physics, but it does not tell you whether a printer is worth owning. TCO is a sum of line items, not a vector product. Every time a project tries to mash price, yield, warranty months, and personal preference into one score, I ask the project owner to show me the line items instead. The calculator is not the model.
What About the Budget Right Now?
The objection I hear most is that there is no budget for an Enterprise printer this quarter. I understand. A finance team cannot pay this month's salaries with projected savings from next year.
But I watched the opposite play end badly in 2022. We let a branch office choose a lower-priced printer to stay under a spending cap. The device failed twice in the first nine months, and the second service visit cost more than the price difference we had saved. The lesson was not that we should never buy low-cost printers. It was that the decision process should start with volume and expectations, then let TCO choose the tier.
If the only affordable option is a light-duty device, buy it intentionally for a light-duty workload and set the replacement expectation. That is defensible. What is not defensible is pretending a light-duty printer will carry a whole department just because the price was low.
The Price Tag Is Not the Total Cost
I will repeat the opinion I started with. The cheapest HP printer on the shelf is usually not the cheapest HP printer in operation. If you are comparing equipment, start with page volume, deployment effort, actual page yield, and support time. Add those to the list price before you pick a winner.
In my reviews, the best purchase is often the one that looks less like a bargain and more like a decision. It might be an HP LaserJet Enterprise printer for one floor, an HP Smart Tank 6001 printer for another, or a modest single-function HP printer in a quiet corner. Any of those can be the right call if it matches the workload. But if you only look at the price, the printer will always keep the rest of the cost hidden.
